Information We Collect

We collect only the information needed to operate the accommodation management system. Depending on your role, this may include:

• Name — used to identify you within the system (e.g., staff records, room assignments, check-in/check-out logs).
• Contact information — email address and phone number, used for account access and operational communication (e.g., notifications about room assignments or check-in status).
• Government-issued identification numbers — such as Emirates ID, passport, and visa numbers, collected where required for staff identity verification, accommodation compliance, and regulatory recordkeeping.
• Photos or documents — including photos of identification documents, and photos taken for check-in/check-out or facility documentation purposes (e.g., scanning a QR code or an ID document using the device camera).
• Account identifiers (User ID) — a system-generated identifier tied to your account, used to authenticate you and associate records (room assignments, incidents, documents) with the correct person.
• Accommodation and operational records — such as room and bed assignments, check-in/check-out dates, incident reports, and compliance documents (e.g., lease agreements, inspection certificates) associated with your accommodation.

We do not currently collect precise or approximate location data from the AOMS mobile app. If this changes in a future version (for example, to support location-based check-in), this policy will be updated in advance and the change will be reflected in the app's data collection disclosures.

How We Use Your Information

All information we collect is used strictly to operate and support the AOMS platform, including to:

• Authenticate your account and control access based on your role (staff, management, or security).
• Assign and manage accommodation, room, and bed allocations.
• Record and manage check-in and check-out of accommodation.
• Verify identity for accommodation and regulatory compliance purposes.
• Track maintenance, inventory, and facility incidents.
• Manage compliance documentation (e.g., lease agreements, inspection or safety certificates).
• Send in-app notifications relevant to your accommodation status (e.g., check-in confirmation, room reassignment).
• Provide customer support and troubleshoot issues.

We do not use your information for advertising, marketing to third parties, or building advertising profiles. We do not use your data for cross-app or cross-site tracking.

Data Sharing and Disclosure

We do not sell your personal information, and we do not share it with third parties for their own advertising or marketing purposes.

Your information may be shared only in the following limited circumstances:

• Within your employer/accommodation operator's organization — for example, with management or security personnel at your company who need the information to manage accommodation operations.
• With service providers who host our infrastructure — AOMS uses a third-party database and hosting provider solely to store and process data on our behalf, under contractual confidentiality and security obligations. These providers do not use your data for their own purposes.
• Where required by law — if disclosure is required to comply with a legal obligation, regulatory request, or to protect the rights, property, or safety of AOMS, our users, or others.

AOMS does not integrate third-party advertising networks, analytics SDKs, or data broker services within the app.

Data Storage and Security

Your data is stored on secure, access-controlled infrastructure. We apply the following safeguards:

• Data is encrypted in transit (HTTPS/TLS) between the app and our servers.
• Access to data is restricted based on your role within the system (staff, management, or security), enforced at the database level.
• Authentication is required to access any personal data through the app; the system does not expose personal data publicly.

No method of electronic storage or transmission is 100% secure, but we work to protect your information using industry-standard practices appropriate to the sensitivity of the data involved (including government ID numbers).

Data Retention

We retain personal information for as long as it is needed to support your accommodation and employment relationship with the company using AOMS, and for a reasonable period afterward where retention is required for recordkeeping, compliance, or legal purposes (for example, accommodation compliance documentation). When information is no longer needed for these purposes, it is deleted or anonymized.

Your Rights

Depending on applicable law, you may have the right to request access to, correction of, or deletion of your personal information held in AOMS. To make such a request, contact us using the details below. We will respond within a reasonable timeframe and in accordance with applicable data protection law, including the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data.

Children's Privacy

AOMS is a workforce accommodation management tool intended for use by employed staff, management, and security personnel of client companies. It is not directed at children, and we do not knowingly collect information from individuals under the age required to be employed under applicable law.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of AOMS after changes take effect constitutes acceptance of the updated policy.
